Privacy Policy

This policy explains how FEVO LLC, doing business as Renewal Book (“we”, “us”), handles personal information. It covers two kinds:

1. About the people who use Renewal Book (agency owners and staff) and visitors to this website. For this information, we decide how it’s used.
2. About an agency’s clients: the people and businesses in an agency’s records. The agency decides what goes in and why; we process it only on the agency’s behalf, under our Data Processing Addendum. Clients with questions about their information should contact their agency.

What we collect about users

• Account details: name, email address, agency name and the role you’re given.
• Sign-in security: a password hash (never the password itself), two-step sign-in settings, passkeys, and a record of sign-ins (time, IP address, browser) used to protect your account.
• Signing in with Google or Microsoft: if you choose to, that provider tells us your name, email address and an account identifier. We don’t get your password there or access to your mailbox or files.
• Billing: your plan and billing address. Card details go directly to our payment processor; we never see or store them.
• Use of the service: an audit log of changes to your agency’s records, and technical logs (errors, request times, IP addresses) used to run and secure the service.
• Email delivery: whether emails we send reached you, so we can stop sending to addresses that bounce.
• Website visitors: the pages requested and the marketing tags in the link you followed, used to understand which pages bring people to sign up.

How we use it

To provide the service; to keep accounts secure and prevent abuse; to send the emails you’ve asked for (the morning report, sign-in and billing emails); to bill paid plans; to answer you when you write to us; and to meet our legal obligations. We don’t sell personal information, we don’t share it for cross-context advertising, and we don’t use your agency’s data for advertising.

Cookies

The app uses only cookies it needs to work: one to keep you signed in, one to protect forms against forgery, and, if you choose it, one to remember a trusted device for two-step sign-in. This website sets no cookies.

Who processes it for us

We use a small number of service providers, listed on the Sub-processors page, under contracts that limit what they may do with it. We may also disclose information if the law requires it, to protect the rights and safety of our users or others, or to a successor if our business is transferred (with notice to you).

Where it’s kept, and for how long

Renewal Book is hosted in the United States. Your agency’s data is kept while your account is open. Deleted records stay in Recently deleted for 30 days so they can be restored, then they’re removed. Backups are kept for 14 days. Security and sign-in logs are kept for a limited period to protect accounts. When an account is closed, its data is deleted, apart from what the law requires us to keep, such as billing records.

Security

Connections are encrypted; documents and stored credentials are encrypted at rest; access is limited to people who need it; owners and admins must use two-step sign-in; and each agency’s data is kept separate from every other agency’s by the database itself. See Security.

Your choices and rights

You can see and correct your account details in Settings, export your agency’s data at any time, and ask us to delete your account. Depending on where you live (for example, California), you may have rights to know, access, correct or delete personal information, and not to be discriminated against for using them. Write to i.shulha@renewal-book.com; we’ll verify the request and respond within 30 days, or sooner where the law requires. If the request concerns a client’s information held by an agency, we’ll pass it to that agency.

Children

Renewal Book is for businesses and is not directed to anyone under 18.

Changes

We’ll post changes here with a new version date, and email account owners about changes that matter.
